Outdoor events Privacy Notice

The purpose of processing

This Privacy Policy applies to Outdoor Events, as part of the Emergency Management, Events & Weddings team at Bath & North East Somerset Council. It applies to people making an enquiry to hire the Council’s parks and open spaces within Bath and North East Somerset.

Data subjects

Any event organiser or professional who enquires or applies to hold an event or activity in Bath & North East Somerset

Personal data

When you enquire about holding an event in Bath and North East Somerset on the phone, by e-mail, via the website, or when submitting an application, we may collect personally identifiable information such as your name, address, phone number and e-mail address.

As part of the event application process we may also ask for DBS certificate numbers and date of birth to allow us to check the status of the DBS clearance if necessary.

How is it used?

Personal data obtained as part of an enquiry to hold an event or activity in B&NES will be used to contact you regarding your event or activity along with being used to contact you with updates or newsletters to tell you about upcoming changes or requirements and useful information.

By submitting the enquiry form online you consent to allowing us to contact you in relation to your enquiry.

Sharing of personal data with external recipients

Personal data obtained as part of the enquiry and booking process for outdoor events will be shared with the Safety Advisory Group for Events. The Safety Advisory Group for Events will only use this data to contact you about your event or activity.

We will not give information about you to anyone else, or use information about you for other purposes, unless your consent has been given or the law allows this.

How long is the personal data retained by the Council?
