Music Service and Music Education Hub privacy notice

The purpose of processing

B&NES Music Service and Music Education Hub encourages the highest quality engagement from a range of skilled deliverers, ensuring that financial considerations will not be a barrier to accessing this provision. We collect and process your personal data to enable delivery of our services:

Tuition
B&NES Music Service has a team of qualified Peripatetic Music Tutors, delivering individual and small group instrumental lessons to students in schools throughout Bath and North East Somerset. Any instrument can be catered for, with lessons currently being provided on all orchestral instruments, guitar, keyboard and voice.

Whole class tuition
In addition to these lessons, many primary school students receive whole class instrumental lessons through the Music Service’s ‘first access’ programme. The programme provides routes for whole classes of children at KS2 to be taught music through learning a musical instrument.

Ensembles (including online/virtual rehearsals)
Students are encouraged to further their instrumental skills at one of the weekly music centres where players can develop ensemble skills, meet other like-minded musicians and take part in regular performing opportunities.

Instrument hire
Purchasing an instrument can be very expensive so it may be more cost-effective to hire an instrument from B&NES Music Service’s bank of instruments.

Examination entry
Tutors are encouraged to enter pupils for instrumental exams providing pupils, parents and schools with recognised accreditation. Tutors will advise which of the accredited examination boards is most appropriate for the pupil.

Additional information
Online music examinations have become part of the offer from Music Examination Boards. Pupils are required to submit a video recording (either directly to the examination board via email or on the examination board’s website) in-line with the specific requirements for the chosen examination.

Prior to any video being shared, either in an examination context, any virtual ensemble performances and/or streamed music performance context, parents/carers will (electronically) sign an agreement to say that they give consent for the video to be shared with the tutor and/or others as specified on the consent form. The music audio alone does not constitute personal data.

How is it used?

We collect information about you when you request Instrumental/Vocal Tuition, hire a musical instrument, join a Music Centre Ensemble, take an examination, participate in a musical performance or event (including competitions), take part in a Music Residential or Music Tour.

We collect data so that we can deliver services, provide support and communicate updates to parents, carers and guardians of ensemble members.

We collect data so that we can deliver services, provide support and communicate updates to B&NES schools, colleges (and academies).

We will also use data collected if we are asked to investigate any concerns or complaints raised by parents/carers, schools (including colleges and academies) or B&NES Staff

We use this information to keep and maintain registers; raise invoices for payment of services and any additional information required about your child to ensure their safety whilst they are in our care.

Access to this data is restricted to the Music Service office and appropriate Tutors. Personal data will not be collected and processed without your unconditional consent or where there is a legitimate interest.

You are not obligated to provide your personal information to the B&NES Music Service and Music Education Hub however, as this information is required for us to provide you with our services, we will not be able to offer all our services without it.

Sharing of personal data with external recipients

The Music Service and Music Education Hub will not pass collected data to any third party unless required to do so by law and/or with your consent. We will not share or disclose personal information beyond relevant staff without consent.

How long is the personal data retained by the Council?

Personal data will only be retained for as long as it is needed for the purpose specified above, or as required by applicable law or regulatory requirements.
