Early Years service Privacy Notice

The purpose of processing

We collect and use your personal data to support our statutory duty to: ensure sufficient, sustainable early years and childcare places, make available information, advice, support and training to support inclusive and high quality provision, to narrow the attainment gap, and to moderate and monitor the Early Years Foundation Stage.

Children aged 2-5 years who are in receipt of 2 year funding or Early Years Pupil Premium (EYPP)/Pupil Premium (PP).

Personal data

Early Years Setting:
Name, address, telephone, email

Early Years Practitioners:
• Name, work place, email,
• Photo, video for training/resources with individual consent

Individual Child level:
Name, date of birth, post code, gender, setting attending,
Family characteristics if applicable including, Special Educational Needs and Disabilities, Inclusion Support Funding, Education Health Care Plan, Child with a Health Care Plan, Early Help Assessment (CAF), Children in Need, Black or Minority Ethnic, English as an Additional Language, Eligible for Early Years Pupil Premium/Pupil Premium, Eligible for 2 year funding, Looked after child, Child Protection Plan, Children’s Centre involvement/funding, Deprivation Supplement, Photo, video for training/resources with individual consent, Progress Tracker and Early Years Foundation Stage Profile assessment and data analysis at setting and school level.

Gender is collected on an individual child level

How is it used?

To support early identification
To identify how additional funding is working to make a positive difference and where we need to improve our focus.
To inform future planning of resources, training and support offered to early years settings (nurseries, pre-schools, childminders and schools).
To quality assure data submission.
To record of any setting contact
To take photos and videos for training and setting support
To inform the trainer: of the attendees for training events, to distribute information and materials to delegates, to gain feedback on the quality of training

Information will not be shared with any other third party without consent or as required by law.

How long is the personal data retained by the Council?

Early Years Setting/Early Years Practitioner:
The information you provide will be held and used in accordance with the requirements of the UK and European data protection law. The information will form part of your Early Years and Childcare Service record and will be held for no longer than six years.
Other information and contacts (such as compliance note and notes of visits) will be held for up to 7 years from date of contact.
Personal information such as name and contact details of the registered provider will be kept all the time the setting is open, and for 7 years after the setting closes or the manager changes.
Personal data will only be retained for as long as it is needed for the purpose specified above, or as required by applicable law or regulatory requirements

Individual Child Level:
