The purpose of processing

The council is acting in this area for provision of a service (supply of childcare vouchers) in relation to any salary sacrifice contract entered into with an individual employee or contract with a payroll for provision of this service.

Employees of BANES/Academies and other not for Profit organisations for whom BANES are contracted to supply child care vouchers
Childcare providers

Personal Data

1. Employee details:
Name
Address
Email
Who the employee works for (relevant payroll)
Employee number
Childcare provider used
Date
Youngest Child’s surname and date of birth
Tax banding (higher or lower)
If on maternity leave

2. Provider details:
Name
Address
Telephone number
Email
Ofsted number
Type of childcare offered
Employees in the scheme using the childcare provider
Financial systems reference number for payment

How is it used?

1. Employee details used:
To inform the employees payroll what salary deduction to make for childcare vouchers
To determine if the employee is eligible to take part in the scheme and if so the maximum salary deduction which can be made
To determine who a childcare payment should be made to
Contact details to advise them of payments made and for any queries

2. Provider details used:
To contact in case of any query
To make payments to them
To check they are a registered childcare provider

Data may be shared with the relevant payroll of the employee for the purpose of processing the information.

How long is the personal data retained by the Council?

Personal data will only be retained for as long as it is needed for the purpose specified above, or as required by applicable law or regulatory requirements.
