The purpose of processing

• To select appropriate residents.
• To manage the Council’s properties.
• To administer tenancies, licences and temporary accommodation rent accounts.

Data subjects

Households looking to become B&NES Homes temporary accommodation residents.

Personal data

To assess your eligibility, select residents, administer your tenancy or licence and manage your temporary accommodation rent account we will collect:
Your name
Your address
Your employment status
Your date of birth
Your contact email address and telephone number
Your immigration status
Your employment details
Your credit record, financial information and details
Copies of your photographic identification
A photograph of every new tenant or licence holder
Information relating to your family and lifestyle
Your housing details
Medical, support and offending information
Any information not specified above that could be revealed via CCTV images

How is it used?

We will use the data provided to:
Contact you
Assess your eligibility
Carry out risk and support assessments
Select residents
Manage your licence or tenancy
Manage compliance
Administer temporary accommodation rent accounts
Create and agree repayment plans
Prevent tenancy fraud
Address any incidents at the Council’s properties
Manage the Council’s properties and resources
Business administration and legal compliance
Train our employees who are delivering these services

We may share the personal data that you have provided with third parties to:
complete your eligibility and financial assessments
to administer your tenancy or licence
to manage your temporary accommodation rent account
to provide services
to support your progress towards permanent accommodation
to support your welfare
to prevent evictions from temporary accommodation
to carry out our regulatory duties as effectively as we can

How long is the personal data retained by the Council?

Personal data will only be retained for as long as it is needed for the purpose specified above, or as required by applicable law or regulatory requirements.
The Council will maintain information on its licences and tenancies – including tenants’/licencees’ names, dates of birth and the type and length of their tenancies/licences – for up to 75 years to assess qualifying Right to Buy applications. Records that are otherwise created for the purposes of administration, management or any other purposes related to the temporary accommodation will be retained for up to 7 years after the cessation of involvement between parties.
