The Active Way Privacy Notice

The purpose of processing

This document is to explain how The Active Way programme uses and stores information about you, and to get your permission for the Active Way to exchange information with partner organisations that support delivery or evaluation of The Active Way. You can ask to review or change your consent at any time.

The purpose of processing your personal data is so that you can participate in walking or cycling activities offered by The Active Way. The Active Way is a program of free walking and cycling activities, delivered by Bath & North East Somerset Council (B&NES) and funded by Active Travel England.

Please take a moment to read this and if you have any questions, please raise them with the team at Bath & North East Somerset Council using the email address at the bottom of this page.

Data subjects

Any participants in The Active Way programme.

Personal data

Using the referral form, we will collect your:
NHS number
Information relating to your physical or mental health
Full name
Date of birth
Ethnicity
Gender
Postcode
Contact email address
Contact telephone number

How is it used?

1. To enable you to participate in an activity

We need to collect and store your personal data so that you can be referred to The Active Way and participate in an activity; the organisation running the activity will need to be able to get in contact with you.

2. To understand your needs and so that we can offer you the right support

We need to understand your health and wellbeing needs so that we can support you to access the cycling and/or walking activity that will best meet your needs. We will also support you to access other services by referring you to partner organisations that work within the Community Wellbeing Hub where you would like us to.

3. To enable us to evaluate The Active Way programme and assess how well the service is meeting local needs

This is important for us to understand how effective The Active Way programme is. This learning will be used to inform local and national learning about the best ways to encourage active travel, and where the program is effective, to enable us to make the case for future funding to support a cycling and walking offer longer-term. Your NHS number will be used to link to your medical records in order to measure healthcare use before and after taking part in activities.

Evaluations and reports that your information may inform include:

• Local (i.e. Bath and North East Somerset Council-led) evaluations of the service.
• Local (i.e. Bath and North East Somerset Council-led) reports and business cases to support monitoring of the service and to potentially secure further funding for the service so it can continue to operate in future years.
• A national evaluation that will be published by Active Travel England to support national learning about the eleven pilot services they are funding in England (B&NES Active Way is one of the eleven).

Information that contributes to any reports or evaluations will be anonymised to protect the confidentiality of individuals at all times. This means that no personal information that could be used to identify you (i.e. name, address, DOB) will be included.

Sharing of personal data with external recipients

The Active Way may share your information with the following:

• The cycling and walking providers of the Active Way so that they can enrol you in a cycling and/or walking activity. The providers are: Sustrans, All Cycle Bath & West, Ki Activ, Creativity Works, Sporting Family Change, B&NES cycling instructors.

• The community Wellbeing Hub providers, if you would like to access their service/s: Citizens Advice, Developing Health and Independence (DHI), West of England Rural Network (WERN), Age UK, We Care Home Improvements, Curo, Clean State (Training & Employment), Stroke Association, 3SG, Royal United Hospital, The Alzheimer’s Society, Dorothy House Hospice Care, BATH Mind, HCRG Care Group BANES, Carer Centre. • Our Academic research partner, the University of the West of England (UWE), who are supporting the monitoring and evaluation of The Active Way.

Your Information will be stored online in an online Information management system, Riviam. Safeguards have been put in place to ensure your information is not accessed unnecessarily.

How long is the personal data retained by the Council?

We will retain your data for a period of 3.5 years (the duration of The Active Way project).
